Merchant Best Practices

The following items are presented as a guideline to our merchants to help prevent against fraud or other undesirable business situations in relation to payment processing.  If you have any questions, please contact our customer service department at 1-800-327-0093. Do not process credit card transactions for another merchant or business. This is considered “factoring” and you are liable for the full amount of every transaction processed through your merchant bankcard account. Factoring will also result in the immediate termination of your merchant bankcard account.

  • Do not process transactions against your personal or business credit cards or those of your employees, officers, etc. Transactions of this type may be considered “cash advances: and are not permissible under VISA and MASTERCARD regulations. Processing of cash advance transactions will result in the immediate termination of your merchant bankcard account.  
  • VISA require that you keep a copy of each sales ticket made at your business for a period of 12 months or one (1) year from the date of the original transaction. MasterCard requires that you keep a copy of each sales ticket made at your business for a period of 18 months from the processing date of the transaction.  Failure to produce a copy of a sales ticket, after a customer has requested one, can result in an automatic chargeback to your checking account.
  • Check the embossing. All MasterCard account numbers start with 5…All Visa account numbers start with 4. Embossing should be clear and uniform in size and spacing.
  • Examine the hologram. MasterCard has a three-dimensional hologram with interlocking globes that should reflect light and seem to move as you rotate the cards. Visa's hollogram has a dove that seems to be flying as the card is rotated.
  • Verify the signature. The back of the card must be signed, and signature should reasonably compare to the signature on the sales draft.
  • Check the magnetic strip. It should appear smooth and straight with no signs of tampering.
  • Please be cautious when receiving orders to be shipped to Indonesia or Nigeria. Take particular note if the order is via a free email service such as Yahoo or Hotmail or if the potential customer is placing multiple orders using multiple cards.
